Execute administrative functions reliably and consistently to ensure maximal client treatment is delivered. In this position you will: Oversee client/staff schedules to ensure efficiency/productivity of the center cluster (e.g. 8 clients; 9 behavior technicians)Assist in covering behavior technician lunches and absencesInput client schedules in practice management systemEnsure schedule changes are communicated to parents, supervising BCBA and technicians.Maintain parent log and document any issues, as well as monitor and manage parent/staff related concerns that are not clinical in nature (i.e. attendance log, scheduling barriers, professional boundaries)Oversee scheduling of parent meetings for supervising BCBAEnsure completeness and accuracy of client record in coordination with BCBAPerform quarterly client record reviewMail updated treatment plans to PCP for coordination of careSession notes audits for complianceWeekly data verification for unconverted appointments Maintain client supplies and monitor budget accordinglyOrder and track center supplies Request necessary repairs and/or building maintenance from approved list of vendors. Communicate special needs to Senior DirectorSchedule and track center compliance trainings and center safety drills Ensure completion of all incident reportsCoordinate communication of information among all departments to center staff (i.e. billing, HR, finance, compliance)Oversee center compliance with COVID19 control plan (i.e. conduct health screenings, enforce compliance with COVID19 related policies and procedures)Conduct weekly (and as needed) staff meetings to ensure good communication and set weekly priorities/goalsComplete new hire onboarding with assistance of HR departmentAssist in training new staffSpot checks for compliance with all policies and procedures (i.e. social distancing, cleaning, etc.)Identify and address any immediate disciplinary issues. Report ongoing issues to the Center Manager.Other duties as needed/assignedRequired Qualifications: Experience working with children and preferably children with special needsStrong written and oral communication skillsMust exercise utmost diplomacy and tact to provide excellent customer service for clientsExtensive software skills are required including Microsoft Office Ability to read and interpret data, information and documents; analyze and solve non-routine and complex office administrative problems; use math and mathematical reasoning; observe and interpret situations; learn and apply new information or skillsPerform highly detailed work on multiple, concurrent tasksWork under intensive deadlines with frequent interruptions; and interact with managers, staff, clients, the public and others encountered in the course of workInformation technology, organizational and presentation skillsAbility to multi-task and prioritize work in constantly changing environmentBilingual Spanish is a plus!Education/Certifications Required:Associate's degree from an accredited collegeBeneficial Experience:Experience delivering ABA intervention preferredCompletion of Registered Behavior Technician 40-hour training preferredExperience in a supervisory capacity in any field preferredPhysical Demands:Physically able to bend, stand, stoop, or sit for long periods of timeLift and carry up to 25lbsPush/Pull up to 50lbsReports to: Client Service ManagerNumber of Reports: 8-10 behavior techniciansTravel Required: Travel between center locations may be required minimally
